This Privacy Policy explains how Pro Inspect Solution (M) Sdn Bhd (“Pro Inspect Solution”, “we”, “us”) collects, uses, discloses and protects personal data when you visit inspectsolution.pro, contact us, or use our building inspection, survey and consultancy services. It is our written notice under the Personal Data Protection Act 2010 (Act 709) (“PDPA”), as amended by the Personal Data Protection (Amendment) Act 2024. It is a general notice and is not legal advice. A summary in Bahasa Malaysia appears at the end of this page.

1. Who we are

Pro Inspect Solution (M) Sdn Bhd

We are the data controller for personal data collected through this website and our enquiries.

2. Personal data we collect

a) Information you give us

  • Website contact forms: your name, email address and message, plus anything else you include (for example a property address, building details or photos you describe).
  • WhatsApp: if you tap our WhatsApp button or chat widget, your message opens in WhatsApp (a service of WhatsApp LLC / Meta). We receive your WhatsApp name, phone number and the messages and files you send.
  • Phone calls and email: your phone number, email address and what you tell us.
  • Google lead forms: if you submit an enquiry form shown inside one of our Google ads, Google passes us the details you enter, such as your name, phone number, email and enquiry details.
  • When you engage us: information needed to quote for and deliver a service, such as your contact details, your role (for example owner, JMB/MC, developer, contractor or lawyer), the property address, building documents and drawings, access arrangements, and billing details.

b) Information collected automatically

  • Google Analytics (installed through Google Site Kit): pages visited, time on page, approximate location derived from IP address, device and browser type, the site that referred you, and similar usage data, using cookies and similar identifiers.
  • Google Ads and Google tags (including Google Tag Manager): whether you arrived from one of our ads, and actions such as page views and enquiries. This is used to measure our advertising and, where enabled, to show our ads to people who have visited the site (remarketing).
  • Google Maps: our Contact page includes an embedded Google map. When it loads, Google may receive your IP address and set its own cookies.
  • Sign in with Google: our site loads Google’s sign-in service, which may set a cookie to remember your sign-in prompt preference.
  • Website hosting, security and caching: our web host (Hostinger) and caching software (LiteSpeed Cache) process technical data such as IP address, browser type and the pages requested. This is used to deliver pages quickly and keep the site secure, and may be kept in server logs.

Please do not send us sensitive personal data (for example health information, religious beliefs, or identity card or bank details) through our website forms or chat unless we specifically ask for it.

Photographs, video, drone or 3D scan data taken during inspections are collected to record the condition of buildings. They may incidentally capture people, vehicles or number plates. We use such material only for the inspection and report.

3. Why we use your personal data

  • To respond to your enquiry, give you a quotation and arrange site visits.
  • To deliver our services, prepare reports, and communicate with you about your project.
  • For invoicing, accounting, and meeting our legal, regulatory and professional obligations.
  • To establish, exercise or defend legal claims, including where our reports are used in disputes.
  • To understand how visitors use our website and improve it.
  • To measure and improve our Google advertising and, where enabled, show our ads to past visitors.
  • To keep our website and systems secure and prevent misuse.
  • To send you information about our services, but only where you have agreed. You can opt out at any time.

Giving us your personal data is voluntary. If you do not give us the information we need, we may not be able to respond to your enquiry or provide our services.

4. Who we share it with

We do not sell your personal data. We share it only as needed for the purposes above, with:

  • Google (Google LLC / Google Asia Pacific Pte. Ltd.) as a service provider and data processor: Google Workspace / Gmail (our business email), Google Analytics, Google Ads, Google Tag Manager, Google Maps and Google Site Kit. Some Google services also use data for their own purposes under Google’s own terms. See how Google uses information from sites that use its services.
  • WhatsApp / Meta, when you choose to contact us on WhatsApp.
  • Our website host and IT service providers, such as hosting, caching and website plugins.
  • Professional partners working on your project, such as engineers, surveyors, laboratories and specialist subcontractors, where needed to deliver the service.
  • Our professional advisers, such as auditors, accountants and lawyers.
  • Authorities, courts or regulators when required by law, or when the report is intended for them (for example a local authority).
  • Parties you ask us to share information with, such as your lawyer, insurer, JMB/MC or contractor.

Transfers outside Malaysia: some of our service providers, including Google and Meta, store or process data on servers outside Malaysia. Where this happens, we rely on the transfer conditions permitted under the PDPA. We use providers that apply appropriate safeguards to protect personal data.

5. Cookies and similar technologies

Cookies are small files stored in your browser. Our site uses:

  • Analytics cookies: _ga and _ga_M7CDJ7RP2N (Google Analytics, up to about 13 months).
  • Advertising cookies: _gcl_au (Google Ads conversion measurement, about 90 days). Google may also set cookies on its own domains, such as doubleclick.net.
  • Functional items: g_state (Google sign-in prompt state, about 6 months), googlesitekit_auth_nonce (session), and browser storage used by our chat widget (Chaty) to remember its display state.
  • Google Maps cookies on the Contact page, set by Google.

You can block or delete cookies in your browser settings, though some features may not work properly. You can also manage Google ad personalisation at adssettings.google.com, and opt out of Google Analytics with the Google Analytics opt-out browser add-on.

6. How long we keep it

We keep personal data only for as long as needed for the purposes above, or as required by law. As a guide:

  • Enquiries that do not become a project: up to 24 months, then deleted.
  • Client, project and billing records: at least 7 years after the project ends, in line with Malaysian company and tax record-keeping requirements. Longer if needed for a legal claim or dispute.
  • Analytics and advertising data: according to the retention settings of Google Analytics and Google Ads.

7. How we protect it

We take practical steps to protect personal data from loss, misuse, unauthorised access, modification or disclosure. These include secure (HTTPS) connections to our website, access-controlled accounts, limiting access to staff and partners who need it, and choosing reputable service providers. No method of transmission or storage is completely secure. If a personal data breach occurs, we will act on it and notify the Personal Data Protection Commissioner and affected individuals where the PDPA requires.

8. Your rights

Under the PDPA you may:

  • Access the personal data we hold about you and receive a copy.
  • Correct personal data that is inaccurate, incomplete, misleading or not up to date.
  • Withdraw consent to our processing, in full or in part, by writing to us. We will then stop processing for that purpose unless the law allows us to continue. This may affect our ability to provide services.
  • Stop direct marketing by asking us to stop sending you marketing at any time.
  • Ask us to stop processing that is likely to cause you substantial damage or distress.
  • Ask us to transmit your personal data to another data controller (data portability), where technically feasible.

To make a request, contact us using the details below. We may need to verify your identity first. We will respond within the time required by the PDPA (generally 21 days). We may charge a fee for access requests where the law permits.

9. Links to other websites

Our website links to other sites and services, such as WhatsApp, Google Maps and social media. We are not responsible for their content or privacy practices. Please read their privacy policies.

10. Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the “Last updated” date shown at the top.
